We’re looking for an Office Administrator to join our Operations team who is enthusiastic about providing exceptional customer service to both internal and external stakeholders. Proactive and meticulous, the Office Administrator is passionate about working collaboratively to assist our teams with achieving their goals, never compromising the quality of service. They leverage their ability to solve problems and bring forward new ideas to make our office a great place to be.

What you'll do

Responsibilities

The day-to-day of an Office Administrator:

The Office Administrator, reporting directly to the Project Manager, brings with them experience in office administration and excels at multi-tasking in an ever-changing environment. Responsible for working with various internal and external stakeholders to ensure quality results, they also work to ensure the use of the most effective clerical and administrative processes. A UFred Office Administrator is a team player, actively working to increase the level of service we provide to our internal and external stakeholders, and has experience streamlining administrative functions within an organization.

As an Office Administrator, you can expect to:

  • Provide reception coverage and excellent customer service to all
  • Be the first point of contact for administrative requests
  • Assist with coordinating and preparing purchase and change orders
  • Arrange company travel bookings and meetings for all departments
  • Support the team by handling office responsibilities such as processing incoming and outgoing mail and couriers
  • Maintain all office equipment including arranging for any repairs
  • Implement and maintain office systems, including office layout and supply and equipment procurement
  • Liaise with agencies, organizations, and groups to maintain relationships, contracts, and memberships

What you'll need

Qualifications

Some of the things we’re looking for in an Office Administrator include:

  • Minimum 2 – 3 years of experience in office administration
  • Experience with office equipment and supply procurement
  • Ability to maintain the highest standard of confidentiality
  • Proficiency in Microsoft Office software products
  • Experience with CRM databases such as Salesforce
  • Self-motivated with the ability take initiative
  • Strong attention to detail and accuracy with superior follow-up skills
  • Excellent written and verbal communication skills
  • Able to adapt to changing demands and priorities

Hours of Work
This is a full-time position (35 hours a week) position, operating under regular business hours: 8:30 am – 4:30 pm. This position is available in Fredericton, NB.
